Summary of Position Role/Responsibilities

The Recruitment Coordinator I is responsible for coordinating the process and communication flow between internal staff and healthcare professionals (HCPs). This role will provide a seamless candidate experience from beginning to end to meet set department and company goals and objectives. The Recruitment Coordinator I coordinate directly with the Behavioral Assessment Recruiters to schedule interviews with internationals candidates and ensures the schedules stay full to meet department KPI’s including replacing any no show or cancelled interviews.

Essential Functions of the Job

  • Answer incoming calls for the Recruitment Operations teams and follow up with voicemails received
  • Respond and communicate status updates to applicants
  • Schedule and confirm interviews with Behavioral Assessment Recruiters and follow up to ensure outcome is communicated to the candidates
  • Ensure interview schedules stay full to meet department KPI’s including replacing any no shows or cancelled interviews
  • Coordinate directly with Behavioral Assessment Recruiters to schedule interviews with international candidates at a high-volume in a variety of time zones
  • Send, monitor, and collect employment agreements and ensure all documentation collected and on file before transferring the file to the Document Control department
  • Update and manage databases and reports including coding, tasks, notes, documents, exam scores, and changing applicant status to inactive when necessary
  • Monitor multiple systems such as internal databases, applicant tracking systems, and RSS/ TSS
  • Create and manage multiple schedules and any assigned projects
  • Provide administrative support with day-to-day operations for the team and recruitment processes for the department
  • Assist the Recruitment Coordinator II with monthly recruitment meeting slides for the Recruitment Operations team as needed
  • Collaborate with the Recruitment Operations team on feedback to fine-tune scheduling process
  • Attend and participate in team meetings and with other internal departments
  • Communicate in a professional manner while building rapport and trust with candidates as they apply and/or going through the interview process
  • Submit updated reports to the Recruitment Manager as needed
  • Assist with domestic and international recruiting events as directed by the Recruitment Manager
  • Assist with organizing team events such as lunches, charitable PTO activities, team building events, and decorations as directed by the Recruitment Coordinator II and/or Recruitment Manager

Normal Work Schedule

This is a full-time position. Standard business hours are Monday through Friday 8:00 AM to 5:00 PM. Additional time outside of these hours may be needed to complete the essential functions of the job.

Education, Training, and Experience

  • High School degree required; Associate degree preferred, or equivalent combination of education and experience
  • Minimum of 1 year of recruitment and/or administrative related experience and/or training preferred
  • Exceptional communication (written and verbal) and collaboration skills
  • Proficient with Microsoft Office products, Adobe, virtual presentation platforms, and electronic database management

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification and ability to obtain and maintain
  • Valid international travel document
